From high fashion to high tech, entertainment to advertising the events industry is a wild ride and you wouldn't think a live broadcast awards ceremony would have anything in common with a concert or a corporate keynote.


But you'd be wrong.


The craft and art of creating unforgettable experiences for audiences is wrought from the same set of skills and patience and desire to turn experiences into wonder. In this post, there are some tips and techniques that might help navigating the chaos that often ensues.


The Juggling Act of Event Production

Picture this: you’re in the middle of a vortex of action: building the stage and set; creating the magic moments; guiding the script; to 4k or not 4k the content for the super wide LED wall; who chose this venue anyway; and always surrounded by a flurry of your teams' activity - the client - the creatives - the technical production - the scenic - the finance and budgeting leads - the operational and logistic - and the permitting (oh, the permitting).


On one side, the caterers are trying to figure out how to make a soufflé that doesn’t collapse under the pressure of a thousand Instagram stories. On the other side, the creatives are having a heated debate about whether to use a “vintage” piel ratio that throws the whole stage design off or lean into the magic moments of a non-tradtional screen shape that will cause content production costs that exceed my college tuition.


As the producer, your job is to juggle all these moving parts while maintaining your calm clear vision and voice of reason while not quashing creative vision and keeping the team tied to the laws of physics and budget realities.


Here are some tips that I’ve learned along the way:

1. Embrace the Chaos

Event production is like herding cats—if the cats were also juggling flaming swords. There will always be unexpected surprises, and the best you can do is embrace the chaos. When the star talent arrives 20 minutes before show with a chipped tooth or the wrong chairs arrive without explanation or recourse, just take a deep breath and remember: we will get through this and it’s all part of the adventure.

2. Communication is Key

Communication is the glue that holds everything together. Whether you’re coordinating with vendors, managing a team, or just trying to find out who “forgot” to compile the broadcast safe music licenses, clear communication can save the day. Just be sure to avoid cryptic messages like “The penguins are on the way!” unless you want to spark a full-blown crisis.

3. Attention to Detail (and Snacks)

Attention to detail is crucial in event production, but let’s be real—snacks are equally important. A happy crew is a crew that feels seen, heard, and well fed. And a happy crew is a productive crew. So, stock up on those energy bars and coffee, keep open office hours, greet each day and each team, remember to breathe and drink water, and lean on your teams to do the jobs they are amazing at and the reason you hire them.

4. Be Prepared for Anything

Anything can happen at an event. From surprise celebrity guests to unexpected rain showers, to a world series win celebration at the park across the street from your venue. Being prepared for the unexpected is essential. Keep calm and carry on never was more important. And remember to smile when you say that.

5. Celebrate the Small Wins

Finally, don’t forget to celebrate the small wins. Did the technical and creative teams figure out a way to feature the "vintage" pixel ration in the film while on 4k super wide led wall? Celebrate that magic moment! Did the soufflé survive the event? Give the caterer the recognition for flawless soufflé execution! Recognizing these little victories reminds everyone that, despite the chaos, you’re all in this together, and no event is dependent on one single person or team.
